How Much Does an AI Chatbot Cost for a Small Business? 2026 Real Numbers

Self-serve plans and fixed-price custom builds, priced side by side at 300, 1,000 and 3,000 conversations a month, with break-even math sized for a small business budget.

The short answer

A small business pays $0 to about $150 a month for a self-serve AI chatbot plan (Tidio finds $0 plans for one person, and SiteGPT and Boei both top out around $150), plus AI usage that Tidio’s September 2026 check of vendor pricing pages puts at roughly $0.58 to $2.00 per AI-handled conversation. Having us build a bot on your own data with one or two integrations costs a fixed $15,000 to $40,000 over 4 to 8 weeks, or $10,000 to $25,000 if we add it to software you already own.

Which one fits depends mostly on how many conversations you get each month. Under about 300, a free or $25 to $50 plan is the right call. Between 1,000 and 3,000, per-resolution fees start to hurt and a fixed-price build begins to pay for itself.

Seven of the top ten pages for this question are written by companies selling a chatbot subscription. The other three are forum threads asking what to pay a builder. We build chatbots for clients, so this guide answers from that side of the table.

What is an AI chatbot, and what are you actually paying for?

An AI chatbot is software that reads a customer’s typed question, finds the answer in your own business information (website, policies, price list, booking calendar) and replies in plain language. When it can’t help, it passes the chat to a person.

Older rule-based bots follow a script of buttons and fixed replies. The AI kind runs on a language model, which is why almost every plan now adds a usage fee. The billing unit changes your bill more than the headline price does.

  • Per seat: you pay per staff login. ChatBot.com Essential is $19 per user a month billed yearly with only 10 AI resolutions.
  • Per resolution: you pay each time the AI solves a question. Intercom charges $0.99 per Fin outcome; Crescendo’s 2026 guide puts this model at $1 to $6 per resolution.
  • Credit-based: a monthly bundle of messages. Chatbase Hobby is $32 a month billed yearly for 700 message credits.
  • Hybrid: a setup fee of $5,000 to $30,000 plus $1 to $2.25 per use, according to Crescendo.

How much does an AI chatbot cost per month on a self-serve plan?

Tidio checked vendor pricing pages in September 2026 and found most AI chatbots cost $0 to $45 a month for one person, $25 to $360 for a two-person team and $100 to $1,230 for eight agents, with AI usage on top. Here are the entry points as of October 2026.

  • Tidio: a free plan with 50 conversations a month, Starter at $24.17, Growth from $49.17, and the Lyro AI agent from $32.50 a month for 50 AI conversations
  • Zoho SalesIQ: the cheapest paid option in Tidio’s comparison at $7 per operator a month, with a free plan for 3 operators and 100 chat sessions
  • ChatBot.com: Growth at $79 per user a month billed yearly with 200 AI resolutions, and extra packs of 50 resolutions for $49.50
  • Chatbase: Basic at $120 a month billed yearly for 4,000 message credits, with no free plan and a 7-day trial
  • Intercom: Fin at $0.99 per outcome, sold standalone with no seats but with a monthly minimum

How much should you pay someone to build a chatbot on your own data?

Small business owners keep asking this in forums, and vendor blogs keep dodging it. Crescendo quotes $75,000 to $500,000+ for an AI-backed custom bot, ChatBot.com says $10,000 to $100,000+, and Tidio’s median of 11 published estimates puts an AI chatbot on your own content at $30,000 to $120,000.

Those figures mostly describe enterprise projects. A 12-person service business needs something narrower, and narrow scope keeps the price sensible.

Through our custom AI solutions work, the scope listed below costs $15,000 to $40,000 and takes 4 to 8 weeks. If the bot belongs inside an app or customer portal you already own, our AI integration team adds it as a feature for $10,000 to $25,000. A large knowledge base that needs a production RAG system (retrieval that searches your documents before the model writes an answer) runs $18,000 to $35,000. We quote every one of these as a fixed price after a free discovery call.

Cheaper routes exist. Elfsight puts a freelancer configuring Botpress or Voiceflow at $2,000 to $10,000 one-time, plus $89 to $150 a month for the builder. Kellton says a scoped single-use-case support bot runs $5,000 to $50,000 in 2 to 6 weeks.

A low quote can be fine for a simple Q&A bot. Before accepting one, ask who owns the account, the prompts and your data if the freelancer disappears.

Here is what a fair fixed scope includes.

  • A knowledge base built from your website, PDFs, policies and price list, with an admin screen so you can edit answers yourself
  • One channel to start, usually a website widget, with SMS or WhatsApp added later if the volume justifies it
  • One or two integrations, typically your booking calendar and your CRM, so the bot can take actions as well as answer
  • Handoff to a person by email, text or live chat when the bot is unsure
  • A written test set of real customer questions the bot must answer correctly before the final payment
  • Transcript review, so you can see what customers asked and where the bot struggled

What do 300, 1,000 and 3,000 conversations a month actually cost?

No ranking page lays this out side by side, so we did the arithmetic from October 2026 pricing. We assume the bot resolves half of all conversations (Tidio’s own ecommerce split), one staff login, and five message credits per conversation on credit-based plans.

  • 300 conversations (150 AI resolutions): ChatBot.com Growth about $79, Chatbase Basic about $120, Intercom Fin about $149 in outcome fees
  • 1,000 conversations (500 resolutions): ChatBot.com about $376 ($79 plus six extra packs), Chatbase about $160 (Basic plus one $40 top-up of 1,000 credits), Fin about $495, and Tidio’s own two-person example at $440.84
  • 3,000 conversations (1,500 resolutions): ChatBot.com about $1,366, Chatbase Business $400, Fin about $1,485
  • A $25,000 fixed-scope build at any of these volumes: about $1,200 a month all-in, or about $2,500 at the top of the running-cost range (worked out below)

Is it cheaper to build or buy a chatbot?

Per-resolution pricing grows in a straight line, so tripling your volume triples the bill. Credit-based tools stay cheap; check before you buy whether they can book a job, check an order or write to your CRM.

Tidio has published the most honest build-versus-buy model we’ve seen from a vendor. It treats a typical $90,000 build as about $4,900 a month (three-year spread, 15% yearly maintenance, about $300 hosting, about $1,000 of engineer time), which pays off only at roughly 2,600 to 10,000 AI conversations a month against platform prices of $0.58 to $2.00.

A small business bot doesn’t need $90,000. Run a simplified version of the same method on a $25,000 fixed-scope build (we leave out Tidio’s $1,000 a month of in-house engineer time because the maintenance line covers our upkeep): spread over 36 months it is $694 a month, maintenance at Tidio’s 15% a year adds $313, and running costs at the low end of the $200 to $1,500 a month we see for one agent add $200. That is about $1,207 a month.

Divide $1,207 by the per-resolution price you would otherwise pay. At Intercom’s $0.99, break-even is about 1,220 AI resolutions a month. At Zendesk’s $2.00 pay-as-you-go rate it is about 600, and at Tidio’s lowest Lyro rate of $0.58 about 2,080. With running costs at $1,500, add roughly 1,300 resolutions to the $0.99 figure.

That moves the break-even from Tidio’s 2,600 to 10,000 down to roughly 600 to 2,100 resolutions. Below it, buy a plan. Above it, get a fixed quote and compare. Our own extra rule: don’t build until you can name the person who will update the bot when your prices change.

How much does it cost to run a ChatGPT-style model behind the bot?

Less than most owners expect. Take a six-turn support conversation where each turn sends about 4,000 tokens (question, history and passages from your documents) and gets back about 300: roughly 24,000 input and 1,800 output tokens.

On OpenAI’s GPT-6 Luna list price of $0.10 per million input tokens and $0.50 per million output, that conversation costs about a third of a cent. A month of 1,000 conversations comes to about $3.30, and 5,000 conversations to about $16.50. On GPT-6.1 Terra at $1 and $5 per million, the same volumes cost about $33 and $165.

KumoHQ’s 2026 estimate of $3 to $120 a month at 5,000 conversations puts the Luna figure well inside its range. Model fees are the cheap part; hosting, logging and monitoring make up most of the $200 to $1,500 monthly budget for one agent.

What are the hidden costs of an AI chatbot?

Two US legal points come first. A patient typing symptoms into a clinic’s chat may be sharing protected health information, so any vendor or developer handling it must sign a HIPAA business associate agreement. If you collect chat data from California residents, check whether the CCPA applies and make sure transcripts can be deleted on request.

The other costs arrive after launch.

  • Your own time: Boei estimates 2 to 10 hours of staff time for content and training on a SaaS bot, and transcript review continues after launch
  • Upkeep: Tidio and Denser put custom bot maintenance at 15 to 20% of the build cost a year, so a $50,000 bot needs $7,500 to $10,000
  • Integrations: Crescendo says these can add 20 to 50% to a chatbot budget
  • Branding removal: $16.67 a month on Tidio, $1,188 a year on Chatbase
  • WhatsApp: Boei notes Meta fees apply past the free tier, and some platforms mark them up 2 to 5 times
  • Stale answers: when hours, prices or policies change, someone must update the bot that day

Is an AI chatbot worth it for a small business?

Usually, once you have the volume. The U.S. Chamber of Commerce’s 2025 technology report found 58% of US small businesses use generative AI, up from 40% in 2024.

For service businesses the bigger win is usually after-hours lead capture: the homeowner with a leaking water heater at 9:40 pm, or the seller who wants a valuation. A bot that answers, takes the address and books a slot turns those inquiries into jobs before a competitor calls back.

For support, run a conservative test. Denser.ai puts a US-based human agent at $6.00 to $15.00 per resolution. At 1,000 conversations a month with half resolved by the bot, 500 resolutions at $6 is $3,000 of staff time. Tech.co’s 2025 research, cited by aidev.com, found roughly 26% of AI’s time savings go to corrections, which leaves about $2,220 against $160 to $495 a month on the plans above.

When should you not buy one? Here is our decision rule by monthly conversation volume.

  • Under 50: don’t buy, which is also Boei’s advice. A clear FAQ page and a contact form will do.
  • 50 to 300: a free plan or a $25 to $50 one
  • 300 to 1,000: a paid plan, with per-resolution charges checked every month
  • 1,000 to 3,000: Fin at $0.99 per outcome costs about $495 to $1,485 a month if half the chats are resolved, and up to $2,970 if the bot handles them all. Get a build quoted.
  • Above 3,000, or whenever the bot must book or look things up: build

Checklist before you sign up or sign a contract

Run through this before you pay anyone, us included.

  • Count last month’s emails, calls and form messages that asked something your website already answers, and find your tier above
  • Price any plan at three times today’s volume
  • List the actions the bot must take (book, quote, check an order), not only the questions it answers
  • Ask each vendor exactly how AI is billed: per seat, per resolution, per credit or per conversation
  • Get any build quoted as a fixed scope at a fixed price with written acceptance criteria
  • Put in writing that you own the code, prompts, knowledge base and transcripts, and keep the model account in your name so you pay API bills directly and can switch models
  • Name the person who updates the bot when prices, hours or policies change, and confirm HIPAA or CCPA duties first
  • Above 1,000 conversations a month, book a free discovery call and we will give you a fixed price to compare

Frequently asked questions

How much does an AI chatbot cost per month for a small business?

Most small businesses pay $50 to $150 a month all-in, which is where Boei’s October 2026 breakdown lands once AI messages and seats are counted. Free plans from Tidio and Zoho SalesIQ cover very low volume. Above 1,000 conversations, per-resolution fees of $0.99 to $2.00 can push the bill toward $1,000 a month or more.

How much should I pay someone to build an AI chatbot for my website?

A freelancer setting up a builder tool typically charges $2,000 to $10,000, according to Elfsight. A properly scoped custom bot trained on your own data, with one or two integrations and a human handoff, costs $15,000 to $40,000 with us over 4 to 8 weeks. We quote it as a fixed price after a free discovery call.

Is it cheaper to build or buy a chatbot?

Buying is cheaper below roughly 600 to 2,100 AI resolutions a month. That is our break-even for a $25,000 build using a simplified version of Tidio’s method, with 15% annual maintenance and $200 a month in running costs. Tidio’s figure for a $90,000 build is 2,600 to 10,000 conversations. Above your break-even, or when the bot must take actions, building wins.

What is the cheapest AI chatbot for a small business?

Tidio’s free plan covers 50 conversations a month and includes your first 50 Lyro AI conversations. Zoho SalesIQ is the cheapest paid option in Tidio’s comparison at $7 per operator a month on annual billing. Cheapest rarely stays cheapest, though. Check what AI resolutions cost once you pass the included allowance, because that is where bills grow.

What are the hidden costs of an AI chatbot?

The usual ones are AI usage overages, branding removal (Tidio charges $16.67 a month, Chatbase $1,188 a year), WhatsApp messaging fees, and integration work that Crescendo says adds 20 to 50% to a budget. Tidio and Denser put custom bot upkeep at 15 to 20% of the build cost a year. Your own time reviewing transcripts is the cost nobody prices.
