AI Automation for Trades Businesses: What It Costs in Australia in 2026

Most Australian tradies should switch on ServiceM8 or Tradify automations before paying anyone. Here is when a custom build pays, what it costs in AUD, and what AI must never sign.

The short answer

If you’re a sole trader or a two-van crew doing fewer than about 150 jobs a month, switch on the automations already inside ServiceM8 or Tradify before you pay anyone. ServiceM8’s paid Australian plans for up to 500 jobs a month run A$29 to A$149 including GST, and its pricing page lists AI quote drafting, quote follow-up and payment chasing on every plan.

A custom integrated build pays only when you run several crews, juggle two or more systems that don’t talk to each other, and lose real money when a quote is wrong. We price that at about A$18,000 to A$45,000 for a single workflow (US$12,000 to US$30,000, 4 to 6 weeks). AUD figures for our own work are approximate, converted at about A$1.50 per US$1.

In between sits the local agency tier, which Melbourne agency FlowWorks prices at A$4,000 to A$8,000 for one no-code automation. Whichever tier you pick, the software does the drafting and the chasing. The licensed person still prices the risky jobs and signs the certificates.

What does admin really cost a trades business?

AI automation for a trades business is software that drafts, routes and follows up the admin around each job (enquiry, quote, booking, invoice, payment) while a licensed person keeps the decisions.

The admin load is real. An OpenAI-commissioned survey of more than 1,000 Australian small and medium business owners, reported by Dynamic Business on 6 September 2026, found 62 per cent said quoting, invoicing or scheduling takes up more of their week than the work itself. Among construction respondents, 45 per cent had lost potential work because they were slow to respond.

Older numbers point the same way. Tradify’s Pulse survey of 150 Australian trade business owners and managers in August 2020 found 40 per cent spent 12 or more hours a week on administration, and another 24 per cent spent 8 to 11 hours.

So can AI really help a small trades business? The owners already using it think so. Dynamic Business reports that 74 per cent of adopters save at least an hour a week and 26 per cent save seven hours or more. Plan for an hour or two a week from your first automation, not the unsourced “10+ hours” Flowtivity’s trades guide promises.

Which of the three tiers fits your business?

Every competitor page we read argues for the tier it sells. Here is the honest split.

You have outgrown tier 1 when your office person rekeys the same job into two systems every day, when quotes depend on supplier prices that change weekly, or when a no-code build breaks every time a vendor changes something. If none of that applies, stay put. We quote every project as a fixed scope at a fixed price after a free discovery call, and if the call shows your current platform can do the job, we’ll say so.

  • Tier 1, built-in platform automation (about A$29 to A$349 a month). ServiceM8 runs from a Free plan (one user, 30 jobs) to Premium Plus at A$349 for 1,500+ jobs, plus an Office Agent Pro add-on at A$49 a month on paid plans. Aivy’s September 2026 reading of Tradify’s Australian page lists A$48 Lite, A$52 Pro and A$62 Plus per user ex GST, with AI SmartTools on Plus only. This suits sole traders and small crews on one system.
  • Tier 2, a local no-code build (about A$3,500 to A$18,000 up front). FlowWorks quotes A$4,000 to A$8,000 per automation and A$10,000 to A$18,000 for a full suite, plus A$50 to A$200 a month. Source Digital puts a typical first chatbot or quoting tool for a 1- to 5-person business at A$3,500 to A$6,000. This suits a simple process, usually Zapier or Make joining the job system to Xero.
  • Tier 3, a custom integrated system (from about A$18,000). Our AI automation service builds a single workflow for about A$18,000 to A$45,000 and an AI agent connected to two or three systems for about A$27,000 to A$60,000 (US$18,000 to US$40,000, 4 to 8 weeks). Our case studies include Epic Water, an IoT water management app, and Glow Solar, an energy dashboard and website. This tier suits multi-crew businesses where the job system, Xero, the phones and supplier price lists all need to agree.

Can AI write quotes and invoices for a tradie?

Yes, for the drafting. ServiceM8 includes AI quote and invoice drafting on every Australian plan, and Tradify’s SmartWrite writes job descriptions on its Plus plan. A custom system goes further by pulling your rate card, supplier prices and past jobs into each draft.

FlowWorks claims automated quoting cuts 30 to 45 minutes per quote to under 5. Treat that as a vendor claim until you have measured your own, because speed is worthless if the price is wrong.

Our rule is simple: the AI drafts, you approve the price. Some jobs should never get a price without a site visit, such as an unknown leak behind a wall or a switchboard upgrade.

Run a 30-day test first. Let the tool draft every quote alongside your normal process and log minutes per quote, line items you changed, and whether the final price moved. Our own threshold is the owner changing the price on fewer than one draft in ten before anything goes out unchecked.

Follow-up is where the easy money sits. ServiceScale recommends quote nudges at day 3 and day 7, and ServiceM8 and Tradify (from its Pro plan) can both send reminders automatically.

How should scheduling handle WA compliance deadlines?

In Western Australia a notice of completion for electrical work must be lodged with the network operator, Western Power or Horizon Power, within three days of finishing the work.

Missing it is expensive. WA Building and Energy reported that on 21 February 2025 Per Melbourne Pty Ltd, trading as Richtek Perth, was fined A$50,000 plus costs for failing to lodge notices on time on 64 occasions. The Director of Energy Safety said notices “must be submitted within three days to trigger the inspection process”.

Building and Energy’s customer brochure adds a second clock. For electrical installing work, the contractor must give the customer an Electrical Safety Certificate within 28 days, and only a licensed electrical contractor can issue it.

A good automation turns job completion into two tasks: a lodgement task due inside three days and a certificate reminder due well inside 28. It fills in the address, customer details and work description from the job card. It never lodges or signs by itself. The licensed contractor certifies, and the system records when, so you can prove it later.

Will automated invoices pass the ATO rules?

Automated invoices only save time if they are valid. The ATO’s tax invoice page, last updated 18 September 2026, sets the rules below.

ServiceM8 and Tradify templates cover most of it and both sync with Xero. Custom work earns its money on edge cases, such as blocking a commercial invoice over A$1,000 until the buyer’s ABN is on the job. Track days to payment before and after you switch on payment follow-ups, because that number is the cleanest proof an automation is working.

  • Sales under A$1,000 need seven details: that it is intended as a tax invoice, your identity, your ABN, the issue date, a description with quantity and price, the GST amount (or “Total price includes GST”), and the extent each sale is taxable.
  • Sales of A$1,000 or more also need the buyer’s identity or ABN.
  • If a customer asks for a tax invoice, you must provide it within 28 days, unless the sale is A$82.50 including GST or less. A PDF emailed to the customer is valid.
  • Australia has adopted the Peppol framework for eInvoicing, and an eInvoice issued under the A-NZ Invoice Specification meets the “intended to be a tax invoice” requirement.

What does AI automation cost to run each month?

Local estimates vary widely. ServiceScale puts a solid automation stack at A$50 to A$150 a month, FlowWorks says A$50 to A$200 and Flowtivity’s cost guide says A$200 to A$800. None show the working, so here’s ours for a three-person crew.

The surprise is that model usage is the smallest line and card fees are the biggest. A custom system adds hosting and support: our published estimate for a business running one agent is about US$200 to US$1,500 a month including hosting (roughly A$300 to A$2,250), and our support retainer starts from about A$3,750 a month (US$2,500). Our AI automation ROI guide shows how to test that against your own hours.

  • Platform: ServiceM8 Growing at A$79 a month for 150 jobs, or Tradify Pro for three users at A$156 by Aivy’s estimate.
  • ServiceM8 Office Agent Pro add-on: A$49 a month.
  • Extra SMS at ServiceM8’s 10c each: 300 messages is A$30.
  • Card fees: ServiceM8 lists 1.19% + 30c to 1.89% + 30c depending on plan, so A$30,000 a month taken by card costs roughly A$357 to A$567 plus the per-transaction fee.
  • Model usage: at OpenAI’s October 2026 list price for GPT-6.1 Terra (US$1 per million input tokens, US$5 per million output), 400 quote drafts a month at our assumed 4,000 input and 800 output tokens each cost about US$3.20, roughly A$5.

Is an AI receptionist worth it, and is customer data safe?

Off-the-shelf receptionists are cheap to try. Miyai advertises AI phone answering for tradies from A$19 a month, and Perth-built AIssie sells a 24/7 phone agent, chatbot and booking assistant. Pivot2Thrive estimates a business sending 1,000 SMS and making 200 AI calls a month pays A$100 to A$300 in usage on top of the subscription.

For a sole trader up a ladder half the day, a receptionist that captures name, address, job type and urgency is worth a one-month trial. Emergencies should go straight to a human phone.

Privacy is the top worry. In the OpenAI and CommBank survey, data privacy was the biggest barrier among non-adopters at 39 per cent, ahead of output quality at 35 per cent.

The OAIC says a small business with annual turnover of A$3 million or less is generally not covered by the Privacy Act 1988, unless an exception applies, such as health service providers. A receptionist stores names, addresses, call recordings and notes about who is home and when, so ask every vendor where recordings live, how long they are kept and whether your data trains their models. Turn training off before the first call.

What should you not automate yet, and will AI replace tradies?

AI won’t replace tradies. It can’t climb into a roof space or hold a licence. What it can replace is a slice of the evening paperwork, and these four jobs should stay with a person for now.

  • Emergency triage. A gas smell or a sparking board needs a person on the phone, not a script.
  • Hazard diagnosis from photos or customer descriptions. The software can file the photo, but the tradie decides what it means.
  • Compliance sign-off, including the WA notice of completion and Electrical Safety Certificate. Automate the reminder and keep the signature human.
  • Variations on commercial contracts. They carry legal and margin risk a drafting model does not understand.

Checklist: what to do before you pay anyone

For more on ready-made tools versus a build, see our guide to AI agents for small business, and our app development cost guide for Australia covers full custom apps.

  • Count your jobs per month and the systems you use. Under about 150 jobs on one system, start with tier 1.
  • Switch on quote nudges at day 3 and day 7, booking reminders and payment follow-ups in your current platform.
  • If you are an eligible sole trader or single-director company with CommBank, Dynamic Business reports Yello for Business offers two free ChatGPT business users for 60 days.
  • Run a 30-day pilot logging minutes per quote, corrections per quote, calls missed versus captured, and days to payment.
  • Write your never-automate list: emergencies, hazards, certificates and contract variations.
  • Check your invoice template against the ATO’s seven details and the A$1,000 buyer ABN rule.
  • If you do electrical work in WA, make job completion create the three-day notice task and the 28-day certificate reminder.
  • Ask every vendor about data storage, retention and model-training opt-outs.
  • If your pilot says you have outgrown the built-in tools, book a free discovery call with our Perth office and we will scope one workflow at a fixed price.

Frequently asked questions

How much does AI automation cost for a trades business in Australia?

It depends on the tier. Built-in automation in ServiceM8 costs A$29 to A$149 a month for most crews, according to its pricing page. FlowWorks prices local no-code builds at A$4,000 to A$18,000. A custom integrated workflow from us costs about A$18,000 to A$45,000, converted from US$12,000 to US$30,000, and we quote it as a fixed price after a free discovery call.

Does ServiceM8 have AI built in, and is it free?

Yes. ServiceM8’s pricing page lists the AI Writing Helper, AI quote and invoice drafting, quote follow-up and automated payment follow-ups on every Australian plan, including the Free plan for one user and 30 jobs a month. Paid plans start at A$29 including GST. The Office Agent Pro add-on, which chases quotes and flags overdue tasks, costs A$49 a month extra on paid plans.

What are the best AI tools for tradies in Australia?

Start with the job management platform you already use. ServiceM8 includes AI drafting on every plan, and Tradify puts its SmartTools on the Plus plan at A$62 per user ex GST, according to Aivy’s September 2026 reading. Add Zapier or Make to connect Xero, and try an AI receptionist such as Miyai or AIssie if missed calls are costing you work.

How many hours a week do tradies spend on admin?

Tradify’s 2020 Pulse survey of 150 Australian trade owners and managers found 40 per cent spent 12 or more hours a week on administration and another 24 per cent spent 8 to 11 hours. A 2026 OpenAI survey reported by Dynamic Business found 62 per cent of small business owners say quoting, invoicing or scheduling takes more of their week than the work itself.

Is an AI receptionist worth it for a tradie who misses calls?

Usually, for a one- or two-person business. In the OpenAI and CommBank survey, 45 per cent of construction respondents had lost work through slow responses. Miyai starts from A$19 a month, so a one-month trial is cheap. Set it to capture name, address, job type and urgency, send emergencies to a real phone, and turn off model training on your call data.
